POSITION: Full Charge Bookkeeper & Office Manager
REPORTING TO: Executive Director
STATUS: Part-time (15-20 hours/week)
SALARY RANGE: Starting at $25/hr + comprehensive benefits package

Reporting to the Executive Director, the Office Manager is responsible for all CASA's day-to-day operations of the Ottawa Head Office and the timely communication of all business activities and other issues pertaining to CASA in finance, human resources, and general administration; including, but not limited to, the accuracy and integrity of CASA's operating budget and audit, accounts payable, accounts receivable, payroll, personnel records and benefits, and maintenance of records and inventories.
- Degree or certificate in accounting and/or office administration or equivalent experience.
- Strong background of relevant experience in office management, accounting, bookkeeping.
- Excellent organizational skills, management skills, both written and oral communication skills.
- Working knowledge and skills using Microsoft Office Software, Internet, Quickbooks Software.
- Resourceful, efficient, bondable, self-motivated.
- Able to work without supervision or direction when necessary.
- Thrives in dynamic team environment and enjoys working closely with others.
- Knowledge and/or experience with event accessibility guidelines. (Asset)
Maintain accurate accounting system; ensuring that CASA deposits, accounts payable, payroll, and invoicing functions are completed accurately and in a timely manner.
Keep CASA's income and expenditures updated as it relates to the CASA Operating Budget and ensure that both are maintained in accordance with the line items, the financial policies, and allocations set out by the CASA membership.
Reconcile bank statements, prepare monthly financial reports, prepare year-end reports, and prepare for year-end audit.
Assist in yearly budget preparations.
Maintain and administer the health benefits program, assisting staff members with questions, forms, and making claims.
Maintain inventory of office supplies, purchase office and cleaning supplies as needed.
Ensure all office equipment and fixtures are in proper working order and are serviced regularly in accordance with contracts and lease agreements.
Maintain detailed financial records, personnel records, corporate records, administration records, and central records files. Keep Records Management System and its manual updated and accurate. Archive old records from time to time.
Tend to incoming and outgoing mail. Handle all mail relating to the administration operations of CASA.
Administer and process Salary.
Administer CASA’s RSP program.
Know and understand the Procedures Manual of CASA, its Bylaws, and its Resolutions that relate to the internal operations of the organization. Ensure all administration functions meet the requirements stated in the procedures Manual, Bylaws, and Resolutions.
Maintain contracts, ensuring accuracy, payments, and any reporting requirements.
Maintain good working relationship with staff, Board Members, and the Membership, especially in relation to internal office administration of CASA.
Organize conference logistics and travel.
Maintain good working relationship with outside sources, as the Royal Bank, CASA suppliers, contractors, Landlord.
Other responsibilities as assigned by the Executive Director from time to time which are deemed both reasonable and appropriate to the position.
Shall carry out the Office Manager function of the Canadian Alliance of Student Associations with integrity and professionalism, and in a manner consistent with the mission, vision, aims, and objectives of CASA.
Shall work to foster and promote positive working relations with Alliance stakeholders, business associates, member associations, government agencies, and all parties relevant to functioning of the Alliance.
